PRIVACY POLICY

Last updated: 24 October 2026

Introduction

This page describes how Gemelec Electrical Services handles personal information. We follow the Australian Privacy Principles (APPs) in the Privacy Act 1988. If you have any questions about how we manage your data, get in touch using the contact details at the bottom of this page.

What we collect

When you send us a job request or enquiry through this site, we collect what you give us:

  • Your name
  • Phone number
  • Email address (optional)
  • Job address (optional)
  • A description of the job
  • Photos of the job (optional, up to 5), for example of your switchboard or the fitting that needs work

If one of our electricians logs a job for you on site, they may also record a site contact and billing details. We may also receive information you give us over the phone, by email, through WhatsApp or WeChat, or in person when arranging or carrying out electrical work at your property. Messages you send us on WhatsApp or WeChat are carried by those apps (Meta and Tencent) under their own privacy policies.

Why we collect it

We use your information to provide quotes, schedule jobs, perform electrical work, communicate with you about your enquiry, and meet our obligations under electrical safety regulations and Australian tax and accounting rules.

When you send a job request, we use an AI tool to draft a first rough cost estimate from your description and photos. That estimate is for us only. A person at Gemelec reviews it before any price reaches you, and no decision about you is made automatically.

When you send us your details by text message, WhatsApp or email, our office may use the same AI tool to copy them from a screenshot of your message into our records, so they are not typed out by hand. The screenshot can include anyone named in the message, such as a tenant or site contact. A person checks every detail before it is saved, and we do not keep the screenshot itself, only the details that were checked.

Who we share it with

We use a small number of third-party providers to run the business. Your information may be processed by:

  • Google, which stores our job requests in Google Sheets, supports our email through Google Workspace, suggests addresses as you type in the job address box (Google Maps), and provides the website analytics described under Cookies below
  • Vercel, which hosts this website and our job management system, processes job requests before they reach us, stores job photos for 14 days so we can view them, and keeps a private nightly backup of our job records for 30 days
  • Neon, which runs the database of our job management system, where we keep job requests, quotes, jobs and invoices. The database is in Sydney
  • Anthropic, whose AI drafts the internal rough cost estimate from your job description and photos, and copies your contact details from a screenshot of your message when our office uses that option
  • Resend, which delivers the email that tells us about your request, with your details and photos
  • Twilio and WhatsApp, which deliver a short alert to our phone with your name, phone number, job address, email if you gave one, and the start of your job description
  • The push notification services built into our staff's phones and browsers (such as Apple's and Google's), which carry an alert with your first name and the start of your job description. It is encrypted end to end, so those services cannot read it
  • OpenStreetMap, whose address lookup (Nominatim) we use to place job sites on our office map: we send the site's street address, never a name or contact detail
  • Payment and accounting providers we use to issue invoices and keep our books

Several of these providers are based in the United States and may store or process your information there or in other countries outside Australia. We do not sell your information. We only share what is necessary for the providers above to do their job, and we expect them to handle your data securely.

How long we keep it

We keep your information only as long as we need it for the work and our legal obligations. Tax and invoicing records are kept for up to 7 years, in line with Australian Taxation Office requirements. Job requests and enquiries that do not go ahead are kept for up to 3 months, then deleted. Photos are removed from our website storage automatically after 14 days.

Your rights

You can ask us for a copy of the personal information we hold about you, ask us to correct anything that is wrong, or ask us to delete it. We will action requests promptly, subject to any record-keeping obligations we have under Australian law.

Security

We take reasonable steps to protect the information we hold from loss, misuse, and unauthorised access. Form submissions are sent over an encrypted connection, and access to our internal systems is restricted to people who need it. No online system is perfectly secure, so we cannot guarantee absolute protection.

Cookies and analytics

This site uses a small number of cookies. Our host, Vercel, may set basic cookies needed for the site to function, and records anonymous hosting analytics.

We also use Google Analytics to understand how people find and use the site: which pages are read, which enquiry forms get completed, and roughly where visitors are located. Google sets cookies to do this and processes the data on our behalf, which may involve transferring it overseas. We use it to improve the website, not to build a profile of you, and we do not run third-party advertising or remarketing pixels.

You can clear or block cookies in your browser settings at any time, and Google publishes an opt-out browser add-on at tools.google.com/dlpage/gaoptout. Blocking either will not stop you using this site or contacting us.

Children

Our services are not aimed at children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has given us their information, contact us and we will delete it.

Changes to this policy

We may update this policy from time to time. The date at the top of the page reflects the most recent update. If we make a material change, we will update the page and, where appropriate, let affected customers know directly.
